Privacy Policy
Last updated October 16, 2026
This policy explains what personal information CJP Software and Media Inc. (“CJP”, “we”) collects through cjpsoftwareandmedia.com and the client portal, why, who it's shared with, and the choices you have. We collect only what we need to run our services, and we don't sell personal information.
Information you give us
- Contact and website request forms: your name, email, phone number and business, and what you write to us.
- Call bookings: your name, email, phone number, business, the time you picked, your time zone, and any details you add.
- Your account: your name, business, email and password. We store only a scrambled (hashed) form of the password, never the password itself, along with when you accepted our terms.
- Service requests: what software clients send us about fixes and changes.
- Payments: handled by Stripe. Your full card number goes to Stripe, not to us. We keep your Stripe customer reference, your plan's status and dates, and a label such as “Visa ending 4242” so you can recognize your card.
- Free tools: the web addresses you ask our SEO checker to scan, and its results.
Information collected automatically
- Server and security logs: your IP address, browser type, the pages you request and when. We use these to keep the site secure, stop abuse (for example, limiting repeated sign-in attempts) and fix problems.
- Cookies: only the ones the site needs to work, such as the cookie that keeps you signed in to the portal. We don't use advertising or analytics cookies.
- Your browser's storage: settings you choose, such as accessibility mode, are remembered on your own device.
How we use it
- to provide the services you ask for, including your plan, your website or software, and support;
- to reply to your messages and booking requests;
- to bill you and manage your plan;
- to alert our team to new messages, bookings, service requests and payments in our private team chat;
- to keep our services secure and working, and to meet our legal obligations.
Who we share it with
We share personal information only with companies that help us run our services, and only what they need:
- Stripe, for payments and billing;
- Cloudflare, which delivers and protects the website;
- our hosting provider, whose servers run the site and store its data in the United States;
- Discord, which carries the notifications we send to our own team;
- Twilio, which carries the text messages described in the next section.
If we turn on features that use AI, such as a chat assistant, the text you send those features is processed by our AI provider to produce a reply. We may also disclose information when the law requires it, to protect our rights or anyone's safety, or as part of a sale or merger of our business. We don't sell personal information or share it for advertising.
Text messages sent for the businesses we host
Some of the websites we build and host for local businesses let the business text its customers through our texting service. If you request a quote on one of those websites, the form says so. By sending it, you agree that the business may text you about your request and, once your job is done, to ask how it went, with a link to leave a review if you'd like to. Expect up to three texts per job; message frequency varies. Message and data rates may apply.
- What we collect: the name, phone number, email address and message you enter on the form, the texts sent to you, your replies, and whether you've opted out.
- How we use it: only to send those texts on the business's behalf, to show the business your request and your replies in its own admin panel, and to honor your opt-out.
- Who sees it: the business you contacted, and Twilio, which carries the texts. We don't sell your phone number. No mobile information, text-messaging opt-in data or consent is shared with third parties or affiliates for marketing or promotional purposes, and that information isn't shared with any other third party.
- Opting out: reply STOP to any text to stop receiving them, or HELP for help. You can also contact us and we'll take you off the list.
How long we keep it
We keep account and billing records while your account is open, and afterwards for as long as we need them for legitimate business, tax or legal reasons. Messages, bookings and service requests are kept while they're useful for serving you. Server logs are kept for a short period and then deleted. Backups follow the same rules and are replaced over time.
How we protect it
The site uses encrypted connections (HTTPS), passwords are stored hashed, sign-in attempts are limited, and access to personal information is restricted to people who need it. No system is perfectly secure, but we work to protect your information and will tell you if a breach affects you as the law requires.
Your choices and rights
You can ask to see, correct, delete or get a copy of the personal information we hold about you, and update your details by contacting us. Depending on where you live (for example, California and other US states with privacy laws), you may have further rights, and you won't be treated differently for using them. We'll confirm your identity before acting on a request. Some information we may need to keep, such as billing records required by law.
Children
Our services are for businesses and aren't directed at children under 13. We don't knowingly collect their information.
Changes to this policy
We'll post any changes here with a new date, and tell account holders about significant ones by email or in the portal.
